Outlook mailbox size, by default, maxes out at 1.933GB, after which you may be unable to send and receive email. This is a good amount of space, but if you send and receive a lot of large file attachments in the course of corresponding with customers and employees, you may reach this limit rather quickly and receive the mailbox full notification. You should first attempt to decrease the amount of content in you mailbox by deleting unneeded items, going through your Sent folder and auto-archiving old messages, but if you’ve already attempted this and still need more space, you may raise your limit by modifying the registry.
Outlook Inbox Access
Log in to the computer with an administrator account.
Navigate the Settings and Backup
Click the Windows 'Start' button and type “regedit” (without quotation marks) in the Search field. Press “Enter.” Click “File” and select “Export' to create a backup of your registry. Choose a location and filename for your backup REG file and click “Save.”
Adjust the Settings
Double-click “Computer,” “HKEY_CURRENT_USER” and “Software.” Double-click “Policies,” “Microsoft” and “Office.” Double-click “14.0” and “Outlook.” If the “PST” key exists, skip to Step 14. Click “Edit,” in the menu bar, hover over “New” and click “Key.” Type “PST” and press “Enter.” Click “Edit,” hover over “New” and select “DWORD value.” Type “MaxFileSize” and press “Enter” twice.
File Size Increase
Use the example in Step 3 to create the following three DWORD values: “WarnFileSize,” “MaxLargeFileSize” and “WarnLargeFileSize.” Click the “PST” key, and right-click “MaxFileSize” on the right. Click “Modify.” The number you type here will reflect your new maximum mailbox size, and must be entered in bytes. As a starting point, 2,075,149,312 bytes is equal to the 1.933GB default limit in Outlook 2010. Type the new maximum size limit in the Value data box. You may wish to double the figure given in Step 15. Click “OK.”
Last Steps
Right-click “WarnFileSize” and click “Modify.” This figure, also entered in bytes, determines the amount of data the mailbox may store. MaxFileSize refers to the mailbox size overall, including internal processes that may increase its size. Choose a figure roughly 90 percent of the value you chose for MaxFileSize. Click “OK.” Right-click “MaxLargeFileSize” and click “Modify.” Type “51,200” in the box and click “OK.” Right-click “WarnLargeFileSize” and click “Modify.” Type “48,640” in the field and click “OK.”
Tip
If you don’t feel comfortable modifying the registry, an easier work-around is to create another PST file and move messages into it. Messages in PST files do not count toward your mailbox size quota.
Warning
If your company uses Microsoft Exchange, Outlook mailbox sizes may be controlled centrally, in which case these steps will not work. Your IT department may need to adjust your mailbox size on the Exchange server.
Be frugal in selecting a new mailbox size limit; the larger your mailbox is, the slower Outlook will perform.
